One bad review does not ruin a business — not answering, or answering angrily, does.
The first reaction to a bad review is usually anger or denial. What matters is that this reply will be read not just by that one customer, but by hundreds who come after them.
A structure for the reply
- Start by thanking them. Acknowledge the feedback, even when it stings.
- Express regret, not an argument. “Sorry your experience wasn't good” shows sympathy without admitting fault you don't owe.
- Say briefly what you will fix. Other readers are watching whether you actually act on problems.
- Take the details offline. “Please message us on WhatsApp” stops a public argument from dragging on.
